Job Duties in order of Importance

50% Coordinates basic office activities; independently researches and responds to inquiries (telephone, email, in-person, US mail, etc.); provides bilingual assistance in person or by the telephone (e.g., prepares written translations, English to Spanish or Spanish to English, etc.), compiles data, formats and types reports; gathers statistics and may compile in report form; performs research and writes reports to present information. Assists in the preparation of articles/information for newsletter and website, independently composes and produces correspondence, etc. Processes bills for payment; tracks expenditures; establishes and maintains computerbased spreadsheets in order to provide up-to-date account information as needed; keeps inventory of office supplies and order supplies as needed. Maintains personnel files; distributes and collects needed documents and forms from Commission members and staff. Organizes meeting materials; produces Commission meeting minutes; organizes and prepares and distributes monthly Commission meeting materials including meeting notices and Commissioners reference books, prepares materials for other
meetings as needed.

15% Organizes meeting materials; produces Commission meeting minutes; organizes and prepares and distributes monthly Commission meeting materials including meeting notices and Commissioners reference books, prepares materials for other meetings as needed.

30% Provides secretarial assistance through routine administrative tasks; acts as office receptionist, answers telephones, takes messages, composes and types routine correspondence using personal computer and/or IBM typewriter, opens, sorts and distribute mail, finalizes and prepares correspondence for mailing, makes and maintains photocopies for correspondence files, etc. Makes reservations or arrangements for meeting rooms; arranges hotel accommodations for board members and/or Commission staff; prepares travel expenditure reports.

5% Represents Commission Director at meetings, conferences and community events as needed. Makes recommendations to develop or improve programs and procedures. Performs other duties as necessary.
 
Minimum Acceptable Characteristics
Knowledge of (2) bookkeeping, (13a) office practices & procedures, (13b) *agency practices & procedures. Skill in (25b) word processing/keyboarding, (29) operation of office equipment (photocopier, calculator, fax machine, recording equipment, typewriter, personal computer, internet). Ability to (30c) carry out detailed but basic written and oral instructions, (30 h) apply principles to solve practical, everyday problems; (30 i) deal with variety of variables in somewhat unfamiliar context; (30 l) define problems, collect data, establish facts & draw valid conclusions, (31 c) comprehend & record figures accurately; (31 d) add, subtract, multiply & divide whole numbers, (31 e) calculate fractions, decimals & percentages, (32 j) copy material accurately & recognize grammatical & spelling errors, (32 k) complete routine forms; (32 1) maintain accurate records, (32 o) originate routine business letters reflecting standard procedures; (34d) answer routine telephone inquiries from public.

Knowledge of 11a, 11b, 13b*, 14, Hispanic culture, Spanish usage; Spanish-language conversational proficiency required, native proficiency preferred; Ability to 30f, 32r. Knowledge of (13 a), (13 b).
